"Jaws PDF Creator is a great office solution". That's the verdict of IT Consultant Peter Ziegler who has overseen the purchase and installation of 30,000 licenses of Jaws PDF Creator at Swiss based UBS, a leading international investment bank handling billions of dollars for private investors.

Today, every UBS employee has Jaws PDF Creator loaded onto their PC, to convert financial reports, consulting papers and other documentation into secure PDF file format, for dissemination amongst colleagues, associates and customers across the world.

"With Jaws PDF Creator, UBS has streamlined its internal and external communications into a single universal platform that everyone can read," says Ziegler. "We have no way of knowing what software many recipients are running on their PCs. The implementation of Jaws PDF Creator irons out any issues about compatibility. It also provides the security and technical accuracy required by a reputable banking institution."

Ziegler's job of finding a suitable product for UBS started two years ago. After coming across Jaws PDF Creator via the web and subsequently defining UBS's requirements, it soon became clear that here was a practical cost effective PDF solution. An initial batch of 300 licenses was ordered for a pilot test.

"During the test, we discovered that Jaws PDF Creator produced high quality PDF files. We also learnt that secretaries and office assistants felt comfortable using it and that Jaws PDF Creator would be relatively straightforward to distribute to a large user-base."

Distribution of Jaws PDF Creator to UBS offices worldwide was achieved via Microsoft's SMS system, during a six week period. The whole process was automated by the UBS Office Engineering team so that the initial implementation, and any future software updates, could be loaded onto every PC, with the minimum of disruption to end users.

"A big advantage with Jaws PDF Creator is that we have not needed to train people," Ziegler says. "It is very popular here because most people find it very easy to use. If they do need support, help pages with guidance notes and self-explanatory screen shots are freely available from a document server. Users can also call a dedicated UBS support centre if they need additional help."

Most UBS staff are creating PDF files from Microsoft Word, Excel and Powerpoint and have three ways in which to do this: they can specify a macro say in MS Word; "print-to-PDF" in the application they are using; or simply drop the file into the Jaws PDF Creator icon.

Ziegler estimates that UBS currently generates around a thousand PDF files per week, with Jaws PDF Creator being used for a number of different purposes. One such application is the daily creation of a stock-market report in Zurich for US investors. Information is collated early morning and distributed globally in PDF format by 8am Central European time. He also highlights UBS Singapore who have used Jaws PDF Creator for an automatic archiving service, and have already converted over 30,000 Microsoft Word documents into PDF format.

"Such a flow of documents can only increase", he says. "The benefit of PDF is that the files are compact and have less of an impact amongst other traffic on the network. The files coming out of Jaws PDF Creator are very reliable, which means that office laser printers don't fall over very often and this makes for a happier working environment."

A key feature of working with Jaws PDF Creator has been the management of faults and problems. "The support has been great."

Due to his succesful experience with Jaws PDF Creator and its popularity amongst office staff, Ziegler says that he is actively telling UBS partner companies, such as the recently acquired Paine Webber, about Jaws PDF Creator. "They are going to need a document exchange format and I am sure that it will be PDF based. Jaws PDF Creator is a great office solution. I have no problem in recommending this software to colleagues in other companies."
