PDF PRINTER BENEFITS

EXPERIENCING PROBLEMS?

  • Are you tired of managing multiple file formats?
  • Could your printing process be significantly improved if you standardised on one powerful file format?
  • Why is most of the publishing industry moving towards PDF (Portable Document Format)?
  • By using PDF beginning from when the customer sends the file to the printer, right through to the hard copy prints being delivered to the customer, a number of big improvements to the printing process are now possible. The print process is improved by the PDF format as follows:

    • Only one file format is needed for the entire print cycle, reducing the complexity of managing print jobs.
    • Only one self-contained PDF file is needed, for all the text, fonts, images and graphics, for each print job.
    • Most print problems are solved at the customer end, prior to sending the PDF file to the printer.
    • Time savings occur, since PDF files are compact, contain few errors and are handled electronically throughout the entire print cycle.
    • Cost savings occur due to reduced manual intervention, as a result of there being no need to use physical plates and films in the print process. This results in an associated reduction in print times.

    FASTER, BETTER, CHEAPER
All these advantages translate into a faster, cheaper and less complex print process. This is because much of the print process can become digitally based. This means no plates, no films and less manual involvement.

PDF has already become the file format of choice for the printing and publishing industry. The PDF file format is compact and includes all the necessary fonts, text, images and graphics in the one self-contained file. Also, the file looks exactly the same, regardless of the hardware and software used by any sender or receiver of the file.

Not only is the print process faster, cheaper and less complex but digital, on-demand printing becomes possible for both small and large jobs. These jobs can be easily updated and customised, due to the digital file format. Small print jobs can now become economical as well as being of very high quality.

By encouraging and/or subsidising the cost of the purchase of PDF software, for the printer's current and prospective customers, the many benefits of a standardised, digital print process can be realised.

    DIGITAL PRINT WORKFLOW IMPROVEMENTS

    THE STAKEHOLDERS
Customers, Printers, Printer Brokers (sometimes), Print Delivery Companies

    DIGITAL WORKFLOW OPPORTUNITY
Printing documents currently requires many steps, with varying degrees of automation. PDF (Portable Document Format) has the potential to partially or totally automate these print stages:

    • design the contents of the print job
    • proof the print job
    • send print job to printer
    • pre press checks
    • press stage
    • print the job
    • deliver the job

    DIGITAL WORKFLOW BENEFITS:

    • time and costs are significantly reduced
    • the quality of the end product is improved
    • the ability for last minute editing is enhanced
    • the possibilities for on demand, digital printing are increased
    • the PDF file can be transmitted globally in WYSIWYG (what you see is what you get) format
    • any participant with any hardware (computers and printers) and software, can read any PDF file

    DIGITAL WORKFLOW TRENDS:

    • total automation of the print workflow, from the customer through to the digital printing stage
    • the emergence of  print brokers, who will become intermediaries between the customer at the front end and the printers at the back end
    • the dominance of PDF as a print and publishing standard
    • the dominance of the internet as an electronic delivery mechanism

    POSSIBLE AUTOMATION IMPACTS:

    WORKFLOW STEP

    PDF IMPACT DESCRIPTION

    Design
    the Job

The printer may be required to perform some changes to the design received from the customer. If this step is needed, then because the design is always in the 'defacto' PDF standard, the variety of different designer skills required by the printer is reduced.

    Proof the
    Design

If the design is in PDF format then rather than using hardcopy proofs, the proofing can occur online at the printer and online at the customer, by electronically sending the file to the required participants.

    Send Print Job
    to Printer

Sending the print job to the printer, in PDF format, via the internet. This avoids having to manually send diskettes, CD's or hard copies. It speeds up the process of delivering the job and provides a standard powerful, publishing format for all customers to use. This first step sets the scene for the possible automation of the remaining steps in the print workflow.

    Pre-Press
    Stage

Various checks need to be performed on the design before going to press. When a PDF file is created, many file checks are performed as part of the PDF creation process. So the amount of work required in the pre-press process is significantly reduced.

    Press
    Stage

The press stage traditionally involves physically creating press plates and films to perform the print job. However, with electronic PDF format, plates and films are no longer required.

    Print
    Stage

Printing can now occur directly from the PDF file, using digital printers. No plates and no film is required. Also, rather than a small number of large print runs, more on-demand printing can occur because the set up time and costs are very small for digital printing.

    Delivery
    Stage

The actual print job can be electronically transmitted to a physical location as close to the customer as possible, to minimise physical delivery costs.
